Terms of Use

The short, honest version of the deal between you and InFieldX. By creating an account or using the product, you agree to these terms.

The service

InFieldX is business management software for field-service teams: job cards, quotes, invoicing, time tracking and AI Assist. The service is provided by Future Point Consult (Pty) Ltd, trading as “InFieldX”, with registered address at 298 Glenwood Rd, Lynnwood Park, Pretoria, 0081, South Africa — these terms are an agreement between you and Future Point Consult (Pty) Ltd. InFieldX is offered to businesses, not consumers, and you confirm you are using it for business purposes. During early access all tiers are free; if that changes we will give account owners clear notice before anything is charged.

Your account and organisation

You are responsible for keeping your sign-in codes private and for what happens under your account. An organisation owner controls who joins their organisation and what roles they hold; everything a team member does in the product is attributed to your organisation.

Your data and your responsibilities

The business records you store — clients, jobs, quotes, invoices — belong to your organisation. We process them only to run the product, as described in our Privacy Policy, acting as an operator (POPIA) / processor (GDPR) on your instructions.

Because your organisation decides what goes into InFieldX, you are the responsible party (POPIA) / controller (GDPR) for that information. You warrant that you have a lawful basis for the personal information you store — that you collected your clients' details legitimately and may use them the way you do. Do not upload bought contact lists or data you have no right to hold.

Our Data Processing Agreement forms part of these terms for business customers — it sets out our processor obligations, security measures, sub-processors, breach notification and international transfer safeguards. You can export your organisation's data at any time by asking us at hello@infieldx.co, including when you leave.

AI Assist

AI Assist generates suggestions. It can make mistakes, and you are responsible for reviewing its output before acting on it. Anything it drafts — a quote, an invoice, an edit — only becomes real when you explicitly confirm it. AI Assist cannot delete records.

Nothing AI Assist produces is legal, tax, accounting or other professional advice, even when it drafts documents that involve VAT or payment terms.

Don't use AI Assist to process information you shouldn't — ID numbers, banking details or health information that the task doesn't need, or personal information you have no right to hold. AI usage is subject to fair-use limits per organisation; we may throttle or pause AI features for an organisation that exceeds them, without affecting the rest of the product.

Acceptable use

Don't use InFieldX to break the law, to send spam, to store or distribute unlawful content, or to probe, overload or interfere with the service. Don't resell access or misrepresent who you are. We may suspend accounts that put other customers or the service at risk, and we will tell you when we do.

What we promise — and what we don't

We work hard to keep InFieldX available, fast and safe, and we protect your data as described on the Security page. But the service is provided “as is”: we do not guarantee it will be uninterrupted or error-free, and to the maximum extent the law allows, we are not liable for indirect or consequential losses — lost profits, lost business or lost data beyond what we can restore. Where liability cannot be excluded, it is limited to the amount you paid us for the service in the twelve months before the claim. Nothing in these terms limits rights you have under law that cannot be contracted away.

Ending the relationship

You can stop using InFieldX and close your account at any time. We can terminate accounts that materially breach these terms. Either way, you may ask for an export of your organisation's data, after which we delete it as described in the Privacy Policy.

The legal frame

These terms are governed by the law of the Republic of South Africa, and disputes fall under the jurisdiction of the South African courts — wherever you use the product from. If we update these terms in a way that matters, we will notify account owners by email before the change takes effect; continuing to use the product after that is acceptance. InFieldX and its branding remain ours; your data remains yours.
